Want to find a contact but you can’t remember anything of importance to find them by (not another senior moment!)? If you know the date(s) you probably entered the contact into the database, you can find by date of first contact on the History page, which is automatically entered when you create a record.

Click Find A Contact, go to History page (General and History buttons appear at the top of the Find page which appears) and for a range of dates, type into the Date of First Contact field 10/01/02...10/31/02 and click Find (upper left corner). If you know it’s been sometime since, say 9/1/02, you can type >09/01/02 and click Find.

To find by an exact specification, in other words, you want all the Jones and no Jonesbury for a search (Jones in the Find A Contact screen will bring up all Jones and names with Jones in them), type = = Jones (that is, equal sign equal sign Jones) in the last name field after clicking the Find A Contact button.

To find literal text (text exactly as it appears, but regardless of uppercase or lowercase) in a text field (for instance, in the General Notes field), use quotation marks around the text being searched for on the Find A Contact search screen, for example type “,Ltd.” to find that text in a notes field.

How to get just the people in selected groups that have e-mail addresses: If you have a group or several groups of people you want to e-mail or mass e-mail to, (1)  gather the groups by going to Find a ‘Contact’ and enter the first criteria (perhaps WA in the state field), then click Additional Find and put in the second group criteria (perhaps OR in the state field), then click Additional Find and put in the third group criteria and so on until you have finished gathering groups.  (2) Then, click Additional Find once more and enter an equal sign (=) into the e-mail address field AND open the bar on the left side by clicking the icon on the lower left of the screen that looks like a ledger page. When the bar is open, click on the box next to “Omit,” and a check will appear.  (3) Then click the Continue button on that bar. You will only get those contacts in the groups chosen who have e-mail addresses.  You can use this method to find other informational items as well as e-mail addresses. (4) You can go to the e-mail screen by clicking the internet symbol beside the e-mail address of any of the selected group, type the e-mail message (importing data, if wanted), click Change all E-mails to have the same message go out to every contact selected, and click Send All to have them all go individually or click Send One to send just the viewed e-mail to the contact viewed. You can also scroll between records and add individual notes to each message before sending.

To omit one record (at a time) from a group you’ve gathered, click on the record in the Short Line List, or the open record of that contact and click the Ctrl button plus M and that record will be omitted from the found group.

To find all records that have data in a field, (for instance, the e-mail field) go to the ‘Find a Contact’ screen and type two equal signs (= =) in the field you want to have the records have data in and click FindDo not do this as a separate find if gathering groups using this method, you must do it in each group find along with the other data you are finding by.
